Information we use and why
Orders and payments
When you place an order, we may receive:
- your name and email address;
- your billing and delivery address;
- your country or region;
- the editions and formats ordered;
- the amount paid, taxes and shipping costs;
- your order number and payment status; and
- messages relating to your order.
For printed editions, we may also receive a telephone number or other information needed for delivery.
We use this information to process your purchase, provide PDF downloads, arrange printing and delivery, send order updates and handle questions, returns or refunds. This processing is necessary to fulfil our agreement with you.
Some order information is also retained to meet our accounting and tax obligations.
The information requested during checkout is necessary to complete and fulfil your order. If it is not provided, we may be unable to accept or deliver the order.
Payments are handled by the payment services available through the Felix Editions Store. Felix Editions does not receive or store your complete payment-card details.
Contact forms and correspondence
If you use our contact form or email us, we receive the information you choose to provide, such as your name, email address and message.
We use this information to answer your question, provide assistance or take steps you request before or after a purchase. Please do not include sensitive personal information unless it is genuinely necessary for us to help you.
Newsletter
If you subscribe to the Felix Editions newsletter, we use your email address to send occasional news about editions, publications and related activities.
The newsletter is based on your consent. Placing an order does not automatically subscribe you.
You can unsubscribe at any time using the option provided in a newsletter or by emailing info@felix-editions.com. Unsubscribing does not affect essential messages about an order you have placed.
Technical information and cookies
The website and the services it uses may automatically process limited technical information, such as your IP address, browser type, time of access and requested page. This may be necessary to operate the website and store, deliver forms, prevent misuse and maintain security.
Felix Editions does not use visitor analytics, advertising pixels or behavioural tracking.
Essential technical cookies or similar technologies may be used where necessary for the website, forms, checkout, payments or store to work correctly. External services may also use their own essential technologies when you visit or interact with them.
We do not use personal information for profiling or decisions made solely by automated means.
Services we use
Felix Editions works with a small number of service providers. They receive only the information reasonably necessary to perform their part of the service.
Payhip
The Felix Editions Store is operated through Payhip. Payhip processes checkout information, provides access to digital editions and passes the information needed to fulfil an order to Felix Editions.
Depending on the payment method selected during checkout, a separate payment provider may also process your payment.
Payhip may process certain information for its own legal, security and service-related purposes. More information is available in Payhip’s Privacy Policy.
Lulu
Printed editions are produced and shipped through Lulu. When you order a printed edition, we provide Lulu with the information needed to fulfil it, such as your name, delivery address, contact details and the details of the edition ordered.
Lulu uses this information to print, package and deliver the order and to assist with fulfilment questions. More information is available in Lulu’s Privacy Policy.
Formspree
Our contact and newsletter forms are processed through Formspree. Information entered into these forms is transmitted to Felix Editions and may also be retained in the Formspree account for a limited period.
Formspree processes this information to deliver form submissions, filter spam and keep the forms working securely. More information is available in Formspree’s Privacy Policy.
Other recipients
Limited information may also be processed by providers that assist us with website hosting, email, administration or professional advice.
We may share information with a public authority when we are legally required to do so.
Felix Editions does not sell or rent personal information.
International processing
Some service providers are based outside the European Economic Area or use infrastructure in other countries. Personal information may therefore sometimes be processed outside the European Economic Area.
Where European privacy law requires it, the relevant provider must use an approved safeguard for such transfers, such as contractual data-protection clauses. Further information is available in the privacy policies of the providers listed above.
How long we keep information
We keep personal information only for as long as it is reasonably needed:
- invoices and order information forming part of our financial administration are normally retained for seven years, as required by Dutch tax law;
- customer-service correspondence is normally deleted within two years after the matter has been resolved, unless it remains relevant to an order, dispute or legal obligation;
- Formspree submissions are retained according to the applicable Formspree plan and may be removed sooner when they are no longer needed;
- newsletter information is retained until you unsubscribe or ask us to remove it;
- after an unsubscribe request, we may retain a limited record to ensure that the address is not added again by mistake; and
- technical records are retained only for as long as needed for security, troubleshooting and reliable operation.
Service providers may have their own legally required retention periods.
Your privacy rights
Depending on the circumstances, you may ask us to:
- provide access to your personal information;
- correct information that is inaccurate or incomplete;
- delete information we no longer need;
- restrict how your information is used;
- provide certain information in a portable format; or
- stop using information where you have a right to object.
You may withdraw your newsletter consent at any time.
Some information cannot be deleted immediately when we are required to retain it for accounting, tax or other legal reasons. If that applies, we will explain it clearly.
To make a request, email info@felix-editions.com. We may ask for enough information to confirm your identity before providing or changing personal information.
If you have concerns about how your information is handled, please contact us so that we can try to resolve them. You also have the right to contact the Dutch Data Protection Authority.
Security
We take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access.
Access is limited to Felix Editions and to service providers that need the information to perform their role. Although no online system can be guaranteed completely secure, we take the careful handling of your information seriously.

We may update this policy when our website, services or legal responsibilities change. The date at the top shows when it was last updated.
